You’ve spent months planning; the guest lists are ready; the venue is set; everything is perfect… until you stand at the entrance waiting for guests to arrive and realize you have no signal to properly check them in. Not with Guestsnow! Our offline mode feature allows you to sync your lists before the event and keep all check-in functionality even with no signal. Download your guest list to your phone, check guests in, even add notes -- all offline.
Tired of arbitrary ticketing fees and ineffective check-in processes, we started Guestsnow to help solve some longstanding issues experienced first-hand in the event world. Technology has become inherently connected to our way of life. With more than 50% smartphone penetration worldwide and millions of apps at our ready, we are heavily connected and beyond that, heavily dependent on being connected. Let's embrace it and Ditch the Clipboard. Here are 7 ways event tech & Guestsnow can change your life for the better.
Events are stressful; that’s a given. The more you plan ahead, the better event day will go -- also pretty straightforward. So how can you make sure your check-in line moves quickly and your heart rate... does not? One answer: Guestsnow.
With a collection of carefully created features, Guestsnow ensures that your pre-event to-do list gets checked off quickly and seamlessly so that your day-of tasks stay at a minimum. Here are few tools you should never go without:
Promoter Access to Guest Lists
Stop the madness of adding names last minute to your guest list, or worse, during the event itself. Guestsnow allows you to give Promoter Access to collaborators so that they can take the onus of adding their own guests to your list. Of course, you’re still in charge of how many guests they can add, including number of +1s, +2s, etc., and their ability to check-in guests.
Guestsnow’s automated RSVP system allows guests to respond directly via the email you send them, so you don’t have to manually confirm their presence. What’s more, they receive a personalized QR code they can just show at the door for hassle-free check-in.
Add Guests On-the-Go
Of course, sometimes you actually need to add guests on-the-go… Guestsnow has that covered too, in just a few taps to help you save time and tension.
Push Notifications for Super VIPs and Artists
Another great benefit of Guestsnow’s digitized solutions are the push notifications you get when your most important guests arrive. You can stop scanning the room frantically -- you and your people will know right away when it’s time to lay out the red carpet.
These are just some examples of how Guestsnow can help you simplify the tasks that typically take your attention away from the event you’ve spent all this time preparing for. Use that newfound headspace to greet your guests, troubleshoot all the other stuff and generally give your event that extra je ne sais quoi.
Try Guestsnow for free or log into your existing account to make use of all these great features and more. The best part: it’s one flat fee per event for access to all the perks Guestsnow has to offer.
Obvious, but not so obvious, right?
Lines may be a drag, but somewhere along the way, we’ve come to accept them as a fact of life. If we’re going to popular spot -- whether it’s a VIP event, concert, fashion show or immigration -- we come mentally prepared for the high likelihood that we will have to queue. While that’s all very nice for the human race (we don’t want anyone rioting in lines!), wouldn’t it be so much better if lines weren’t a thing in the first place?
At Guestsnow, we certainly think so, and we’re working hard to make lines a thing of the past. So ditch the clipboard and read up on why making your guests wait in line is strictly speaking, a big no-no.
1. It’s bad business.
Holding up a line isn’t just bad practice, it’s bad business. Especially when there’s really no reason to do it: it does not make your event appear more exclusive; it does not present an additional opportunity to market to your audience; and it certainly does not warm people up in the best way possible before your event kicks off.
2. It’s bad vibes.
No matter how motivated or patient, guests who spend the first part of their experience waiting in line are dimmed, at the very least. They’re grumpy and belligerent at the worst. Save yourself some unnecessary conflict and crowd-control and use Guestsnow to make lines a thing of the past.
3. It’s bad press.
If your event is as bangin’ as you want it to be, you’ve probably invited press or it has decided to come to you. Not to mention these days, every guest can write a review or spark a viral post. Make sure these popular voices only have cause to rave about you.
4. It’s bad branding.
When your marketing team comes up with a hashtag or marketing strategy, it’s around the main event, not the queuing. There’s only so much you can engage your guests when they’re waiting, and the longer they wait, the less time they spend interacting with your brand and posting valuable content on social media.
5. It’s bad value.
You’re paying for the venue, the open bar, the photo booth. Why waste that investment with guests lining up on the street?
Jump into the 21st century with Guestsnow. Our event management platform allows you to replace your clipboard with your tablet, phone, computer to save yourself and your guests valuable time and opportunity. Let’s cut out the lines, shall we?
Manage Guest Lists Without Micro-Managing Teams
When you’re organizing an event, everybody wants a piece of you. From the vendors you’re working with to the partners who want their contacts on the guest list, event planners are the sun around which everything rotates. To make event marketing just that bit easier to manage, Guestsnow has a sanity-saving feature: “Promoter Access.”
Promoter Access can be found under your guest list and allows you to grant limited guest list access to other partners like promoters, agents, managers and so on. When setting this up, you can control how many guests each team can add and how many +1s (or +2s, or +3s) can be included. This way, trusted collaborators can directly add names to your event’s guest lists to spare you the nagging, to manage last minute add-ons during events and to deal with general micro-managing of guest list registration.
Guestsnow has seen great success with this feature and it works very well for clubs, venues and festivals with high profile music events like Factory 93’s Deadmau5 and Guy Gerber’s Rumors. Try it out in your Guestsnow app account or if you’re new to our event management and integration platform, take Guestsnow for a whirl for the one flat fee of free.
