Why You Should Never Make Your Guests Wait in Line

Obvious, but not so obvious, right?

Lines may be a drag, but somewhere along the way, we’ve come to accept them as a fact of life. If we’re going to popular spot -- whether it’s a VIP event, concert, fashion show or immigration -- we come mentally prepared for the high likelihood that we will have to queue. While that’s all very nice for the human race (we don’t want anyone rioting in lines!), wouldn’t it be so much better if lines weren’t a thing in the first place?

At Guestsnow, we certainly think so, and we’re working hard to make lines a thing of the past. So ditch the clipboard and read up on why making your guests wait in line is strictly speaking, a big no-no.

1. It’s bad business.

Holding up a line isn’t just bad practice, it’s bad business. Especially when there’s really no reason to do it: it does not make your event appear more exclusive; it does not present an additional opportunity to market to your audience; and it certainly does not warm people up in the best way possible before your event kicks off.

2. It’s bad vibes.

No matter how motivated or patient, guests who spend the first part of their experience waiting in line are dimmed, at the very least. They’re grumpy and belligerent at the worst. Save yourself some unnecessary conflict and crowd-control and use Guestsnow to make lines a thing of the past.

3. It’s bad press.

If your event is as bangin’ as you want it to be, you’ve probably invited press or it has decided to come to you. Not to mention these days, every guest can write a review or spark a viral post. Make sure these popular voices only have cause to rave about you.

4. It’s bad branding.

When your marketing team comes up with a hashtag or marketing strategy, it’s around the main event, not the queuing. There’s only so much you can engage your guests when they’re waiting, and the longer they wait, the less time they spend interacting with your brand and posting valuable content on social media.

5. It’s bad value.

You’re paying for the venue, the open bar, the photo booth. Why waste that investment with guests lining up on the street?

Jump into the 21st century with Guestsnow. Our event management platform allows you to replace your clipboard with your tablet, phone, computer to save yourself and your guests valuable time and opportunity. Let’s cut out the lines, shall we?

A Le$$on in Customization: Levi's Block Party

Levi’s invented the blue jean in 1873. Almost 150 years later, they’re still the coolest legwear for men and women and the brand remains a fashion staple around the world. When they came to Guestsnow looking for help to manage their last event, we were excited to provide the customization features they needed to continue to stand out from the competition.

To do this, Guestsnow implemented a custom design for Levi’s event RSVP landing page. We included a range of relevant questions like “What is your jacket size;” “What company do you work for” and “What is your title;” and of course, the standard “Are you attending the event” and “Who invited you.” This not only fulfilled Levi’s branding and customization requirements, it also allowed them to capture the exact data they needed for remarketing, production, and customer service needs.

Furthermore, by using Guestsnow instead of hiring a contractor to build a new webpage and manage it, Levi’s saved a lot of time and money they can now repurpose in other ways. All of Guestsnow’s packages include our full suite of features and allow you to select the right one for your needs, whether it’s paying one flat fee for a single event or a monthly subscription if you’re an event-planning machine.

Try it now for free or log into your existing Guestsnow account to play with our customization features. These are guaranteed to help improve your branding, guest experience and data surrounding all your events.

Guestsnow Feature Spotlight: Promoter Access

Manage Guest Lists Without Micro-Managing Teams

When you’re organizing an event, everybody wants a piece of you. From the vendors you’re working with to the partners who want their contacts on the guest list, event planners are the sun around which everything rotates. To make event marketing just that bit easier to manage, Guestsnow has a sanity-saving feature: “Promoter Access.”

Promoter Access can be found under your guest list and allows you to grant limited guest list access to other partners like promoters, agents, managers and so on. When setting this up, you can control how many guests each team can add and how many +1s (or +2s, or +3s) can be included. This way, trusted collaborators can directly add names to your event’s guest lists to spare you the nagging, to manage last minute add-ons during events and to deal with general micro-managing of guest list registration.

Guestsnow has seen great success with this feature and it works very well for clubs, venues and festivals with high profile music events like Factory 93’s Deadmau5 and Guy Gerber’s Rumors. Try it out in your Guestsnow app account or if you’re new to our event management and integration platform, take Guestsnow for a whirl for the one flat fee of free.

No Detail Left Uncovered: Use Targeted Emails to Tidy Up Your Events

When planning events, you’re juggling a million things: venue, activities, budgets and of course, RSVPs. If you’re on top of your game, you will have sent your invitations far in advance, to make sure your guests pencil in that date and attend the festivities. But what happens after? We all know things change, people forget, and once the event is over, it’s onto the next big thing. Here’s how to stay top of mind without overcrowding your guests.

Update Your Guests With Relevant Changes

Most likely, some elements of your event will change as planning progresses. You probably don’t need to email your guests with every little update, but things like a new start time, change of venue or modification of a theme are quite important. Keep all of these relevant tidbits together and share them as a joint update/reminder close to your event date, or contact your guests right before for last minute updates.

Guestsnow has a new feature that does just that. Type out the body of your email with your updates, select the list you wish to send it to and voilà.

Gently Follow Up with Guests Who Have Yet to Confirm

With emails and invitations coming in left and right, it can be hard for guests to know which events actually need their attention. That’s all very well for the spontaneous dude and dudette that go wherever their hearts takes them, but with your budgets, estimates and plain sanity, an RSVP is key. Enter: the reminder email. A gentle prod in your guests’ inbox with a targeted message can go a long way.

Use Guestsnow’s RSVP Email Reminder to let guests know your awesome event is around the corner, and if they want to take part, here’s where they can RSVP.

Check-in After Your Event, Too

A check-in doesn’t just have to be when your guest arrives at the party and passes the checkpoint. Stay connected with the people who attended and follow up with a post-event email. You can link to some cool pictures, use Guestsnow’s analytics to post interesting stats or simply say hi and thank you.

Lucky for you, Guestsnow has just launched a Follow-Up Email feature, too.

So tie up all your event loose ends with Guestsnow and its latest features, available for one flat fee along with all its other cutting-edge options. Sign into your Guestsnow account or try it out now for free.

Guestsnow Collaborative Feature: Guy Gerber’s Rumors

All good parties require several things to be a hit: an enticing host or theme, animated participants and a smooth guest management process. Guy Gerber’s Rumors, one of Ibiza’s most sought-after parties which now takes place all over the world, serves as the perfect example. Together with Guestsnow, the sky's the limit for this super trendy event.

For the latest party, which just took place with DJ Harvey in Los Angeles’ Chinatown, Rumors used Guestsnow and its versatile sub-account feature to connect the multiple organizers involved. With a first-class party like Rumors that hosts thousands of enthusiastic party-goers, that included artist managers, agencies, event promoters and event production staff -- all running on their own schedules and dealing with their respective contacts. With sub-accounts, Guestsnow allowed each team to manage their own guest lists, adding names at their leisure without interfering with other lists or confounding data from other sources. They could even limit each list’s check-in capacity to ensure the venue didn’t exceed its maximum numbers.

Guestsnow’s sub-accounts are a lifesaver in this scenario -- every team retains control of its contacts and its process which minimizes both conflict and disorganization. There’s no longer a need for a single event organizer to juggle thousands of names on a deadline (we all know nobody keeps those and names always get added during events) and time usually wasted on stress and lack of communication is reinvested in better ways.

If you haven’t yet, check out Guestnow’s new sub-accounts feature to streamline your guest lists, breeze through your check-ins and maybe have a little fun at the party you’re hosting, too. While you’re at it, read about the L.A. Rumors event on LA Weekly -- makes us wish we were back on the block.

5 Tips on How to Prep for an Event

There’s a big difference between “how to prep an event” and “how to prep for an event.” And the latter is just as important as the former. While at Guestsnow, we strive to make your event preparation a smooth and easy process via our event app, we also want to make sure you remain your best self before, during and after the events you run. Here are our 5 tips for event planners to stay on top of their events and themselves.

Be you and trust your intuition

Good event planning requires a mix of creativity and organization. Whoever it is you’re working the event for may have authority on the goals, budget and big decisions, but your vision and opinion are essential as well. Expressing them skillfully won’t just help you stay sane and positive, it’ll upgrade your event from being well-executed to brilliantly conceived.

Do what works for you

There are many event planners out there and there are just as many ways to plan an event successfully. While some people like creating hyper-organized spreadsheets with assigned tasks and status updates, others work more organically with a day-to-day to-do list. The key is to find the best method for you so you’re not trying to both plan an event and adjust to a counter-intuitive way of managing it.

Take things one step at a time

Looking at the above-mentioned spreadsheet might calm your nerves, or it may give you hives. Don’t let yourself get overwhelmed and set small goals that you can accomplish one at a time. It’s tried-and-true, and the more you enjoy that feeling of completion, the more it will snowball until your final masterpiece comes to life.

Charm the venue and the vendors

Whether you’re a one-(wo)man show or have a full team by your side, getting the managers of your venue on board will not only help things run smoothly, it’ll make it way more fun, too. Befriending the little guys will work wonders as well. Whether it’s the sound technician who has incentive to go above and beyond to troubleshoot an issue or the bartender that finds the cocktail mixes that’ll give you more bang for your buck, you catch more flies with honey.

Pamper yourself

It’s easy to let your me-time slide when things ramp up and event-day is near. Don’t underestimate the power of a relaxing massage or a mani-pedi (guys can enjoy these too!) a day or two before. Your confidence and positive attitude are just as important as your guest check-in.

Now that you’ve taken care of yourself, rest assured that your events are in good hands with Guestsnow. We’ll make your check-in process as smooth as possible from any device, help you organize your guest lists effectively and understand your trends in depth -- all for one flat fee. Sign into your Guestsnow account to infuse all this positive energy into your next event, or sign up with Guestsnow for free to test it out.

Guestsnow Spotlight: Club James

Nobody likes a party crasher. Making sure your events are filled with only your VIPs is one of our priorities here at Guestsnow.

Take our client James Goldstein: this millionaire NBA super-supporter hosts the most exclusive parties in his home, known as the Sheats Goldstein Residence in Beverly Hills. Recently, Mr. Goldstein threw a party in Club James, the nightclub located below the mansion. And he used Guestsnow to manage it.

With an open bar sponsored by Red Bull and music DJ’d by the very talented Guy Gerber, this prestigious event welcomed close to 250 people at full capacity for 3 hours, from 9AM until midnight. Of course, it was by invitation only, thus it was crucial that only those on the exclusive guest list would be given access.

Enter: Guestsnow

Guestsnow guaranteed that only guests who were invited were allowed inside and helped Mr. Goldstein’s team properly organize invitees according to priority thanks to our advanced check-in and guest list management tool app. When patrons arrived, they promptly received easy check-in at the gate, provided they were on the list. A mini van would be waiting at the foot of the hill to drive guests to the club, where security stood waiting to double-check their entrance stamps. Guestsnow is proud to say the event was tightly run with no hiccups, all thanks to proper preparation and the power of Guestsnow event management app.

Don't compromise quality when it comes to your events. Try us out for your next function on Guestsnow. Our full suite of features, from manual guest check-in to robust list management, is available for one flat fee per event.
